Stage 4 NEWS  Issue 15

from the 22 April 2003 Steering Group Meeting

By motion of the meeting, Archdeacon Geoffrey Hall chaired the meeting of the Stage Four Steering Group in the absence of Archdeacon Claude Miller. In opening remarks Archdeacon Hall pointed out that there is less than 3 months to prepare for our structural change in the amalgamation and that a proposal for a reorganized Task Team structure would be made to refocus on areas that need to be addressed. It was suggested that by motions carried by parish corproations membership of the Steering Group will remain. In light of continuing conversations, members representing Greenwich will continue with the Steering Group.

FOLLOW UP

1. Parish Meetings 30 March. Meetings were held as planned. The current official intention of the Bishop is to amalgamate the Parishes of Grand Bay , Ketepec, and Westfield (07 July 2003). The Bishop and the Parish of Greenwich are involved in on-going conversation.

2. Steering Group future / corporation motions. It was reported Vestries in the Parishes of Westfield and Grand Bay carried the motion proposed regarding the Steering Group working closely with the Bishop to make decisions leading up to amalgamation. Due to scheduduling difficulties, the Parish of Ketepec had no meeting in April.

3. Holy Week worship. Feedback on combined worship has been positive. All were pleased with participation in the choir. Estimated attendance on Good Friday was 155.

TASK TEAM REPORTING

A. Existing Facilities. Gerry Peer
All inventories of church buildings are completed and the "scoring" for historical purposes will be forwarded to Diocesan Property Committee.

B. Community Building. Marion Lucas Jeffries
No report. On 31 May 2003 a Diocesan PWRDF Youth event, "Side By Side", open to youth 14-18 years of age is scheduled for Westfield United Church from 9:00 a.m. to 9:00 p.m.

C. Financial Visioning. Andrew Logan / Dick Black
No report. Financial Visioning to be discussed under New Business. .

D. Communication. Cindy Price
The Rivers’ Light," will be published in May with an emphasis on youth.

E. Parish Vision. Debbie Black
No report.

F. New Facilities. Gordon Brown / Wanda Porter
New members have been added as research on new facilities and location continue. Visit to St. Mark's Church, St. George, 29 April 2003. BUSINESS

1. Steering Group re-configuration. By motion the current Task Team structure is dissolved and re-configured in five areas of emphasis:

   COMMUNICATIONS TEAM - Chaired by Cindy Price.
To continue with communications initiatives already in progress.

   PROPERTY AND FACILITIES TEAM - Gordon Brown, Wanda Porter and Gerry Peer. Clergy Representative - Archdeacon Miller.
To explore interim worship arrangements and make a more intense investigation of property and location of new facilities.

   FINANCE VISIONING TEAM -The Team will be divided into 2 sub-groups:
Integration of the Financial Systems - Andrew Logan
Stewardship Planning - Dick Black. Clergy Representative - Canon Trivett.
On 31 May 2003, a stewardship training workshop on parish stewardship planning including the tool of every member visitation will be held at St. James' Broad Street at 10:00 a.m. Representatives from stewardship planning and/or Steering Group should plan to be in attendance.

   BISHOP'S ADVISORY TEAM - Debbie Black and Marion Lucas-Jeffries. Clergy Representative - Archdeacon Hall.
To explore and propose structure of a new parish corporation considering of size of vestry, geographic representation, parish name, parish officers, etc as well as facilitating nominations for election to a new parish corporation prior to 01 July 2003.

STANDING ADVISORY COMMITTEE TO THE BISHOP - membership to be determined by the Steering Group.
To facilitate the consultation with our Bishop concerning leadership of the new parish.

All teams will recruit participants and membership as required.

2. Future worship arrangements. By motion the Stage Four Steering Group outlined three options and request the Bishop give direction as to summer interim facilities June - August 2003.

3. Direction re use of facilities. Parish of Grand Bay Vestry asked for direction regarding the use of those facilities by Alcoholics Anonymous and other groups. At this time no definite answer can be given.

GOALS for next meeting: To report back on progress made in the 4 re-configured areas of emphasis where membership has been assigned.
